Modernized healthcare management software for a US client with redesigned UI and improved UX. We rebuilt the scheduling process and implemented scalable patient management and feedback modules.
The client, a US healthcare provider, approached XB Software with a request to modernize an existing care coordination and management software used for appointment scheduling, patient management, and customer care workflows. The original healthcare system had grown difficult to maintain visually and operationally. The UI was inconsistent, some processes required too many manual actions, and the overall user experience no longer matched modern healthcare application expectations.
Part of the problem stemmed from the fact that the initial interface had been moderately vibe-coded during earlier rapid development stages, which resulted in inconsistent UI and UX patterns across modules, uneven interaction logic, and fragmented user flows that became increasingly difficult to scale and maintain over time.
The client specifically wanted to rebuild the frontend using ReactJS and Material UI while preserving compatibility with the existing backend infrastructure. During the discovery phase, we also identified opportunities not only to redesign the interface, but to modernize workflow logic, simplify navigation, and introduce additional modules for patient engagement and operational visibility.
Different modules followed inconsistent interface patterns, making navigation less intuitive for healthcare staff and increasing onboarding complexity.
Booking and care coordination required too many repetitive actions, slowing down daily operations and increasing administrative workload.
The existing frontend architecture complicated further app modernization, feature expansion, and long-term product maintenance.
Communication procedures and patient surveys were disconnected from the main patient care coordination software, reducing visibility and making patient engagement harder to manage.
XB Software redesigned and modernized the healthcare platform, focusing not only on visual improvements but also on workflow optimization and scalability. Instead of directly adapting outdated designs into new technology, we proposed multiple enhanced UI concepts aligned with MUI standards and healthcare usability requirements.
The updated solution included redesigned scheduling operations, centralized patient management, responsive dashboards, alerts, reporting tools, billing visibility, and customizable patient feedback functionality inspired by our experience with digital assessment systems.
The biggest challenge was inconsistency from rapid vibe coding: every part of the interface behaved differently, with no unified UX logic. Even simple process mapping was hard because users had adapted to the chaos. Before modernizing, we had to reconstruct how the product was supposed to work.
Scheduling and patient management were among the most heavily used parts of the care coordination healthcare software, but the original processes were fragmented and difficult to scale. XB Software rebuilt these modules to simplify booking, optimize visibility into patient interactions, and reduce administrative overhead.
Scheduling operations with calendar-based booking, appointment status tracking, and simplified rescheduling functionality, making daily operations significantly faster for healthcare staff.
Patient records, appointment history, goals, billing information, and communication history were consolidated into structured profiles accessible from a single interface.
The new UI improved visibility into billing statuses and operational workflows, helping administrators track financial and scheduling processes more efficiently.
To optimize patient engagement and service quality tracking, XB Software implemented a customizable assessment and feedback module inspired by our expertise in digital testing systems like Examarius to collect structured feedback.
Administrators can configure patient satisfaction surveys, onboarding forms, and service assessments without additional frontend redevelopment, improving flexibility for evolving healthcare workflows.
Patients can complete questionnaires and evaluations through responsive interfaces optimized for multiple devices, helping increase participation and simplify data collection.
Collected responses are automatically aggregated into dashboards and reports that help healthcare teams monitor patient satisfaction trends and operational metrics.
For this healthcare software modernization project, XB Software selected technologies focused on scalability, maintainability, and responsive user experience. Since the client specifically requested a modern ReactJS-based interface, the frontend architecture was rebuilt as a scalable single-page application using ReactJS.
To accelerate UI consistency and upgrade long-term maintainability, we implemented Material UI (MUI X Pro) as the core frontend framework. However, during the analysis stage, we discovered that the original designs were only partially aligned with MUI principles. Instead of forcing incompatible layouts into development, our team proposed multiple improved UI concepts that preserved the client’s branding while significantly improving usability and navigation consistency.
For the feedback and questionnaire functionality, we also utilized our expertise from Examarius customization workflows, adapting configurable assessment mechanics for healthcare-related use cases.
